Job Description
We have an immediate, part-time opening in our Madison office for an Office Services Assistant/Backup Receptionist. This is a 100% in-office position, for 12-15 hours/week.
You will join a supportive, hard-working team dedicated to making the office run smoothly, with the goal of serving the firm’s clients in the most efficient way possible.
As part of our Office Services team, we will train you to perform the following duties and responsibilities:
• Scan hard copies for eventual uploading into our electronic document management system.
• Assist legal assistants with photocopying projects, outgoing mailings, and the creation of document binders.
• Set up for any in-office meetings with beverages/food in an attractive and professional manner. Ensure conference rooms are promptly cleaned after each meeting. Set up AV equipment in conference rooms.
• Order catering for meetings with pre-determined budget; fill out detailed (name of event, people involved, etc.) disbursement requests and deliver to Office Manager by the end of the day.
• Provide back-up reception duties at front reception desk (answer phones, greet persons entering organization in a professional manner, handle incoming vendors).
• Process and route mail.
• Assist Office Manager with electronic filing and monthly reconciliation of office credit card statements.
• Organize and supply office supply areas and conference rooms and supply paper for printers/copiers throughout the office.
Required qualifications include:

• Strong technology skills. Demonstrated proficiency and experience with Microsoft Word/Outlook and willingness to learn new tools.
