Position Summary

Concordia University invites applicants for the position of full-time Library Services Assistant/Office Manager. The Library Services Assistant / Office Manager facilitates the coordination and management of all Library office procedural operations and duties under the direction of the Director. The Library has the primary goal of meeting the information needs of CUW students as they participate in the University's programs of study in pursuit of Christian education at the undergraduate and graduate levels. The Library works together with the faculty and administration to select, acquire, and make available materials and resources consistent with fulfilling the University's mission of providing excellence in Christian education. This position will report to the Director of Library and Information Services and Vice Provost of Academic Affairs at the Mequon, WI campus.


Job Duties and Responsibilities

  • Function as special assistant to Director of Library and Information Services, and, serve as back-up to the Access Services Librarian with circulation services and duties;
  • Assume primary responsibility for the Falcon One I.D. Card operations;
  • Facilitate student and faculty access to course reserves and coordinate placement of materials on/off course reserves in a timely manner, keeping accurate records, and maintaining copyright compliance;
  • Perform and/or supervise SWITCH Library Consortium duties, including the fulfillment of requests and regular deliveries;
  • Design, coordinate and process library office procedures, policies, record keeping and other functions as needed or assigned by the director;
  • Serve as liaison between the Library and other campus departments;
  • Prioritize work schedule, procedures, and tasks to accommodate departmental and institutional needs;
  • Assist with all Library office services (mail delivery, phone services, and, internal and external correspondence / communications, etc.);
  • Assist with library signage and social media presence;
  • Assist with the collection of Library revenues in accordance with good business procedures as developed by the Library administration;
  • Prepare purchase orders and requisitions with Director's approval;
  • Coordinate and reserve meeting rooms, necessary equipment, and materials for library functions and hospitality as needed;
  • Assist the Director with the coordination of repair and maintenance notifications;
  • Periodic reference assist as needed;
  • Supervisory duties are defined by the Director.
  • Other duties as assigned by the Director.

Knowledge, Skills, and Abilities

Fulfillment of the purposes of this position necessitates administrative, supervisory, and trained capabilities in the following areas:

  • Proficient with computer technology, software, applications, and other such tools relevant to the operations of a modern, automated library environment.
  • Knowledge and skill in using Library OPAC operations and protocols is helpful;
  • Knowledge and skill in written and oral communication;
  • Ability to work independently as well as effectively within collaborative environments;
  • Ability to work in a fast paced, continuously evolving service organization;
  • Knowledge and skills in personal competencies as they pertain to the professional work place.

Education and Experience

  • High School Diploma; Bachelor's Degree preferred;
  • Experienced in office and administrative tasks, duties, and procedures;
  • Experienced in public relations.
  • Experience in a library setting is useful with 'academic' being a plus.
