Our marketing agency, The Media Captain, is looking for a part-time Executive Assistant. This position requires someone to work 4 hours per day and 20 hours per week. The work can be performed in a fully remote capacity.
The ideal working time each day would be 8 AM - 12 PM EST, but we're flexible on this. Our marketing agency is continuing to experience growth so we're looking to alleviate the workload of our executive administrative assistant. This position is perfect for someone who is well organized, technologically proficient, a strong communicator and, of course, someone with a positive attitude!
RESPONSIBILITIES ARE LISTED BELOW:
Onboarding Support:
- Assist in the onboarding process for new clients.
- Schedule meetings between the client and our team members
- Facilitate billing to ensure payment is made
- Input key information into the clients CRM
Billing Assistance:
- Send new monthly invoices
- Follow-up on past due invoices.
- Maintain organization so bills are getting paid on time, and we're communicating with clients that are falling behind.
Sales Support:
- Input new leads into our CRM
- Follow-up with leads that have not responded to our initial inquires.
Administrative Tasks:
- Undertake miscellaneous tasks assigned by the Executive Administrative Assistant.
- Manage calendar appointments and other administrative duties.
- Maintain a high level of confidentiality and professionalism.
Qualifications:
- Previous experience in administrative or assistant roles is preferred but not required.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in using office software and tools.
- Attention to detail and accuracy in completing tasks.
- Ability to work independently and as part of a team.
