Position Summary
Under general supervision, the Ordering Specialist performs a variety of technical and administrative tasks to support the purchase of Library educational materials. The incumbent works closely with vendors and staff throughout the library to order, receive, and pay for materials in multiple formats. The Ordering Specialist assists with other projects within the Technical Services Division as needed.
The ideal candidate will have experience with integrated library systems, preferably Alma. The ideal candidate will possess strong analytical and problem-solving skills and display an understanding of the acquisitions process in libraries.
This is a full-time, benefits-eligible position that offers a flexible work schedule (minimum of 4 days in the office per week).
Hourly Hiring Range : $18.89 to $20.00, contingent upon qualifications and experience.
Requirements
- HS Diploma or equivalent
- 2 years of administrative work experience in an office/library setting
- In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted
- Skills
- Demonstrated interpersonal, clerical, and basic organizational skills
- Ability to understand and communicate library policy
- Ability to develop a working knowledge of library services and practices
- Ability to use a variety of technical or business programs
Essential Functions
- Processes and monitors orders, offers guidance on special handling instructions and payment information, serves as the liaison with vendors, ensures clarity regarding the status of requests, orders, and payments
- Receives, records, and distributes materials, prepares and submits invoices
- Monitors payment status and confirms receipt of materials
- Resolves problems and answers questions from requestors, vendors, and other library staff
- Processes returns and tracks refunds
- Prepares claim reports
- Performs all other duties as assigned
