Hybrid position (office in Mission Viejo, CA) – Part-time & Full-time
The operations and Project Specialist plays a critical role in supporting company growth and the executive leadership team. This is a unique opportunity to work on a day-to-day basis with our CEO on a range of operational and client-specific areas of our business. This position will also be responsible for a variety of special projects (planning, execution, and communication) related to technology, process or customer initiatives.
Key responsibilities may include:
- Lead and manage special projects and initiatives from inception to completion. Coordinate and communicate timelines, deliverables, and progress across internal/external stakeholders.
- Collaborate with external partners, stakeholders, and customers to strengthen relationships and drive growth.
- Analyze data and conduct research to provide insights and recommendations for executive decisions. Lead customer data analytics initiatives as needed.
- Prepare and deliver executive-level presentations/reports and customer meetings.
- Identify and implement process improvement initiatives (process mapping, risk/opportunity identification, change management).
- Provide direct support to the CEO, including prioritizing tasks and ensuring timely follow-up on important matters.
- Support hiring for key roles across operations team.
- Other tasks as assigned

Required qualifications for this role:
- Minimum 3 years’ experience across entrepreneurial, growing organizations collaborating with C-Suite level executives
- Experience with: Project planning and execution, Customer account management, Executive communications and presentations, Data analytics, CRMs (Salesforce preferred)
- Advanced or certified experience with Microsoft Suite of products
- Ability to work effectively from a home office that includes wired high-speed internet and a quiet place to work without interruptions and background noise
- For part-time, flex/time option, 15-30 hours availability per week
Preferred qualifications for this role:
- Experience working in a healthcare setting
- Bachelor’s degree
