The Operations Assistant supports the smooth functioning of the company's daily operations. He or she will report to the Operations manager and work closely with various departments, teams, and managers to ensure that administrative, logistical, and coordination tasks are efficiently carried out. *FULLY BILINGUAL (ability to speak, understand, read and write/text) IN SPANISH MANDATORY*
We are looking for someone EXTREMELY detail oriented and organized.
Key Responsibilities:
Administrative Support:
- Provide administrative assistance to the Operations departments
- On Sundays, support both the Operations and Customer Service Departments
- Assist in scheduling meetings, coordinating appointments, and managing calendars
- Prepare and distribute internal memos, reports, and other relevant documents
Communication:
- Maintain effective communication channels within the organization, ensuring that information is shared accurately and promptly. Including but not limited to management, the drivers, warehouse employees and customer service department.
- Respond to inquiries from team members, customers, and vendors in a timely and professional manner.
Operational Coordination:
- Collaborate with various departments to streamline processes and improve operational efficiency.
- Assist in organizing and executing projects, events, or initiatives as directed by the operations manager.
- Help maintain inventory levels and track supplies to ensure availability when needed.
Data Management:
- Assist in collecting, organizing, and analyzing data for reporting purposes.
- Update and maintain databases, spreadsheets, and other data repositories as required.
Team Support:
- Work closely with colleagues to provide support in their tasks and projects.
- Collaborate with cross-functional teams to ensure smooth communication and collaboration.
Problem Solving:
- Identify operational bottlenecks or challenges and propose solutions to improve processes.
- Escalate issues to the operations manager as needed.
Compliance and Documentation:
- Assist in maintaining compliance with company policies, procedures, and regulations.
- Ensure accurate documentation of operational processes and procedures
Sundays:
- On Sundays, the job duties include answering customer calls, placing orders, supporting the Warehouse, as well as the Operations department
Job Types: Full-time, Part-time
Pay: $19.00 - $23.00 per hour
Expected hours: 40 per week
