D.J. Bitzan Jewelers, voted “Best Jeweler in Central MN” nine years in a row is hiring an Office Support/Administrative Assistant to join our fast-paced, dynamic and progressive back Office Support team. This position will perform a wide variety of administrative duties while providing support to management, sales and service teams. Spend each day working with beautiful gemstones and finely crafted finished pieces – knowing you’re helping to make moments extra special for our customers.
This is a full-time, on-site 40 hours per week position, Monday through Friday: 8:00am – 5:00pm and an occasional Saturday as needed (Typically 3-4 per year). Business needs such as store meetings, business events and the holiday season would require the Office Support/Administrative Assistant to start earlier or work later than the hours above. Compensation is based on qualifications and experience.
$19 - $21 hourly
Responsibilities:Office Support Responsibilities (75%)
This position is responsible to assist with back-office operations with the primary duties as follows:
- Ensure customers receive a WOW experience by tracking jobs, communicating with vendors, providing accurate and timely appraisals, and accurately tagging the merchandise upon receipt.
- Use a critical eye to ensure details of item are captured correctly – prepping paperwork for the appraiser, entering appraisal narratives and data into proper software, printing and prepping appraisals for delivery to the customer per defined instructions.
- Develop a strong understanding of the inventory, job, order, appraisal processes, and basic functions of the industry software. As part of the office team, you will be cross-trained in various duties and responsible for assisting where needed to meet deadlines.
Administrative Assistant Responsibilities (25%)
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Executive’s behalf.
- Maintaining comprehensive and accurate records.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit and directing them accordingly.
- Managing the Executive’s calendar, including making appointments and prioritizing the most sensitive matters.
