Position: Office Operation Assistant (Full-Time Position)
Job Summary
We are urgently seeking professionals for a great opportunity at an entry level position that will provide great experience in the wholesale industry. The Office Operation Assistant will be tasked to help assist/support our office with our daily Administrative/Accounting/Operations with a variety of tasks and duties and will mainly report to the Administrative/Accounting Manager and Operations Manager. A detailed list of descriptions is listed below.
Responsibilities:
- Order Management: Carefully review and process customer purchase orders to ensure accuracy and compliance with company policies. This role involves verifying order details, pricing, and delivery timelines to facilitate smooth sales transactions.
- ERP Proficiency: Utilize our Enterprise Resource Planning (ERP) software, Netsuite, to effectively manage and track sales and operational data. Responsibilities include order entry and management, inventory tracking, and ensuring a seamless flow of information across departments.
- Shipping Labels: Print and organize shipping labels for corresponding shipments/orders. Able to instruct Warehouse Team to prepare the shipment in a efficient manner.
- Shipping Coordination: Prepare and manage all necessary shipping documents for both inbound and outbound logistics. This task requires a keen eye for detail and an understanding of shipping protocols to ensure that goods are dispatched and received on schedule and in excellent condition.
- Shipment Tracking and Reporting: Monitor the progress of shipments and maintain an up-to-date master list of all inbound and outbound deliveries. This involves liaising with carriers and logistics providers to promptly address any issues during transit, ensuring all parties are informed of the shipment status, and updating internal teams accordingly.
- Administrative Operations: Ensuring that office supplies and snacks are taken care of and stocked. Copying and filing papers/scanning documents onto cloud storage. Basic Data Entry and organization.
- Accounting Operations: Able to process and record bills into our system. Ordering and recording expenses and Cost of Goods Sold. Preparing orders and reporting to the Accounting Manager. Understanding of basic accounting principals preferred.
Qualifications:
- Work Authorization: Candidates must be authorized and eligible to work in the U.S., ensuring compliance with employment laws and regulations.
- Educational Background: A High School Diploma or G.E.D. is required, establishing a foundational level of education for the role.
- Communication Skills: Exceptional written and verbal communication skills are essential, enabling effective interaction with team members, clients, and partners.
- Organizational Abilities: Strong organizational skills are crucial, with the capacity to prioritize and manage multiple tasks simultaneously to meet deadlines and objectives.
- Detail-Oriented and Problem-Solving: A sharp attention to detail and robust problem-solving skills are required, facilitating the identification and resolution of issues to maintain operational excellence.
Additionally, strong proficiency in Excel and Google Docs is preferred for efficient data analysis and reporting. Bilingual proficiency in Korean and English is highly preferred to effectively communicate with a diverse team and clientele, enhancing operational efficiency and customer service excellence.
