ABOUT THE ROLE
WHAT YOU'LL DO
- Own various administrative tasks, including scheduling meetings, handling correspondence, and supporting the needs of the Legal and People departments with a focus on timeliness and accuracy.
- Serve as a central point of contact for internal and external inquiries and communication, fostering a collaborative and inclusive office culture.
- Maintain records and manage data entry for the legal team.
- Manage incoming and outgoing mail in a timely and efficient manner.
- Oversee corporate governance needs for personnel as needed (fingerprints, notary appointments etc.).
- Coordinate office meetings and conference rooms, and ensure all logistical aspects are executed smoothly.
- Oversee day-to-day office operations, including managing supplies, coordinating maintenance, and organizing workspace.
- Ensure that the office and balcony are kept clear, clean, and tidy at all times.
- Responsible for shipping and receiving office supplies and mail.
WHO YOU ARE
- 1+ year of experience as an office coordinator or administrative assistant.
- Experience as an administrative or executive assistant is a plus.
- Natural talent for keeping things organized and on time.
- Proactive nature for identifying and addressing potential challenges.
- Strong attention to detail.
- Highly communicative and reliable, with a natural inclination to be quick to respond to phone, email, and Slack.
- Positive and friendly demeanor, contributing to a harmonious office atmosphere.
- Ability to communicate effectively with various stakeholders, both internally and externally, verbally and in written form.
- Adaptable to a dynamic work environment and can handle multiple tasks with ease.
- Local to San Carlos, CA with the ability to work in-office at least 3 times per week.
