Office Manager/Bookkeeper
General Description:
The Office Manager/Bookkeeper is in charge of all administrative work and bookkeeping related to the essential functions listed below. The Office Manager/Bookkeeper is also responsible for answering the office phone, greeting people as they enter the office, and receiving and distributing the mail.
The office manager will manage all aspects of his or her job within Quickbooks, Smartsheets, and Google Drive/Docs. Red Leaf manages its entire company using these softwares.
Essential Functions:
- AP Process
- Loading and documenting all invoices to the correct chart of accounts
- Manage all loan payments
- Vendor account reconciliation
- Credit card payments and Reconciliation
- AR Process
- Creating Client invoices for both residential and commercial clients
- Following up on payments
- Providing clients with lien releases via docusign
- Weekly Financial Process
- Create weekly financial reports for CFO
- Tax Preparation
- Work with CEO and CPA for tax preparation at the end of each year
- Insurance Management and Renewals
- Manage all work comp claims
- Manage additionally insured documents for clients as needed
- Update annual reports for insurance
- Payroll Process
- Complete bi-weekly company payroll
- Complete health benefits with payroll period
- Manage 401k plan with CEO
- New Project Process
- Load new project estimates in quickbooks and smartsheets
- Load new project change orders to quickbooks and smartsheets
Non-Essential Functions:
Misc. Admin work associated with the entire company
Help with facility maintenance

Physical Requirements:
The ability to lift/move up to 50 pounds, the ability to stoop, lift,sit, and stand for long periods of time, (up to 10 hours per day), and the ability to work outdoors as needed.
Conclusion:
- You may be required to work overtime, irregular or varied shifts, including weekends and holidays. Work may be on an intermittent basis and is subject to weather conditions or project deadlines.
