Responsibilities:
- Keep track of all employees benefits, interact with benefits providers.
- Oversee the organization and maintenance of files and records
- Coordinate and manage calendars, including scheduling appointments and meetings
- Assist with the development and implementation of training programs for office staff
- Handle legal office management tasks, such as client scheduling and billing, interactions with clients and vendors, document management, and paying of invoices and writing checks.
- Occasionally manage front desk operations, including greeting visitors and addressing inquiries
-Locate and develop case relevant information
-Type up and file basic legal documents and correspondence
-Assist and help manage the accounting books of the firm
-Categorize and pay invoices, provide support in administering office benefits, make payments, interact with and deal with financial institutions
Skills
-Proven working experience as legal assistant or legal secretary
-Familiarity with law, legal procedures and protocols, and court system
-Familiarity with general accounting principals or bookkeeping.
-Satisfactory knowledge of day-to-day operations of a legal office
-Computer literacy
-Proficiency in English (Proficiency in Spanish is a plus)
-Working knowledge of case management software
-Excellent secretarial and organizational skills
College Degree or Legal Education preferred but not required
Requirements:
- Proficient in file organization and record keeping
- Familiarity with phone systems and excellent phone etiquette skills
- Strong calendar management skills with the ability to prioritize tasks effectively
- Experience in training development is a plus
- Knowledge of legal office management practices is preferred
- Excellent communication and interpersonal skills
- Ability to multitask and work in a fast-paced environment
