DescriptionRiver Region Psychiatry Associates manages inpatient psychiatry units and provides consult services to hospitals, operates outpatient clinics throughout North America, including a mental health urgent care. As part of our mental health ecosystem, we employ psychiatrists, psychologists, psychiatric mental health nurse practitioners, family nurse practitioners, physician assistants, licensed clinical social workers, and licensed professional counselors. We also partner with community mental health organizations, rural health organizations, correctional facilities, rehab facilities, and nursing homes. Take a closer look to learn why a career with River Region Psychiatry Associates could be the best decision of your career.PRIMARY RESPONSIBILITIES:River Region Psychiatry Associates, LLC is seeking an individual who can serve as a medical clinic Office Manager for an out-patient psychiatry clinic. This individual must exhibit and possess patience in a fast-paced medical practice, possess exceptional customer service skills, leadership skills and possess the ability to multitask and provide support and management over support staff and providers in a clinic setting. The chosen candidate should be an active listener and comfortable interacting in a positive manner with all ages of patients, family members, staff members and providers and referring providers and their staff members. They must be able to comply with and consistently follow established medical organization best practices, policies and procedures.
  1. Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; assigning and monitoring clerical functions.
  2. Completes operational requirements by scheduling and assigning employees; following up on work results.
  3. Keeps management informed by reviewing office processes; summarizing productivity; identifying trends; managing schedules.
  4. Maintains office staff by orienting, and training employees.
  5. Maintains office staff job results by planning, monitoring, and appraising job results.
  6. Partner with HR to maintain office policies as necessary.
  7. Organize office operations and procedures by streamlining processes for a more efficient office.
  8. Coordinate with IT department on all office equipment; work orders; IT issues.
  9. Provide general support to visitors and deal with any interoffice or patient complaints and/or issues.
  10. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and clerical functions are properly assigned and monitored.
  11. Manage Provider schedules and ensure schedules are full to allow Providers to reach productivity goals.
  12. Allocate tasks and assignments to support staff and monitor their performance.
  13. Ensure top performance of office staff by providing them adequate coaching and guidance needed to ensure that the office is functioning as a cohesive team.
  14. Responsible for ensuring office financial/productivity objectives are met by preparing annual budget for the office.
  15. Responsible for developing standards and promoting activities that enhance operational procedures.
  16. Allocate available resources to enable successful task performance.
  17. Coordinate office staff activities to ensure maximum efficiency and promote patient satisfaction.
  18. Evaluate and manage staff performance as it pertains to efficiency and productivity.
  19. Organize orientation and training of new staff members.
  20. Coordinate with HR for any disciplinary issues needed and assist in the progressive disciplinary process.
  21. Oversee adherence to office policies and procedures.
  22. Monitor and maintain office supplies inventory.
  23. Manage internal staff relations.
  24. Maintain a safe and secure working environment.

QUALIFICATIONS:
  • Prefered BS degree with 5+ years in a clinic management setting.
  • Ability to use all Microsoft based applications, electronic health system software, general office equipment, such as printer, scanner, fax and payment acceptance software.
