We have a great opportunity to join our team as an Office Manager in a luxury, established plastic surgery center and aesthetic med spa.
JOB SUMMARY:
The purpose of the Office Manager is to oversee all daily operations of the practice, including managing the staff, inventory, and providing excellent customer service. The manager will support and uphold established policies, procedures, objectives, quality improvement, safety, codes and requirements of accreditation and regulatory agencies. The manager will support the administrative, marketing and business functions of the practice. The person who fills this position is a brand ambassador for the aesthetic practice and must present themselves in a pleasant, polished, and professional manner.
Duties include, but are not limited to:
- Manages all practice software; practice management, photo storage/editing, computers, iPad, etc., and trains all staff on company protocols.
- Holds and coordinates regularly scheduled staff meetings and individual 1 on 1 sessions with staff on a weekly basis.
- Oversee financial reporting, batching, merchant accounts, banking and reconciling daily financial close.
- Coordinate performance reviews of personnel; handles and conducts all disciplinary actions in coordination with management team.
- Manage and reviews all inventory verification and ensures proper par level of supplies; includes front office administrative and back office clinical supply; Oversees orders, inventory counts, stocking and receiving.
- Manages all internal and external vendor communications.
- Ensures that the office is compliant with HIPAA, OSHA and other governmental regulations. Supports and upholds established policies, procedures, objectives, quality improvement, safety, environmental and infection control, and codes and requirements of accreditation and regulatory agencies.
- Manages facility, maintenance, phones, computers, and other equipment, ensures cleanliness of office.
- Assists physician with administrative duties and tasks, as assigned.
- Establishes and maintains an efficient and responsive patient flow system between the front and back office.
- Maintain all accreditation and licensing to ensure all are up to date and compliant per regulatory requirements.
- Specific to surgery center: Manage staffing schedules for nurses and scrub techs, maintain accreditation and licensing to ensure all are up to date and compliant per regulatory requirements, review and maintain logs with surgery staff.
EDUCATION AND EXPERIENCE
- High school diploma, or equivalent; bachelor’s degree preferred
ESSENTIAL SKILLS AND ABILITIES:
- Excellent telephone etiquette and communication skills
- Above average computer, grammar, and written communication skills
- Strong organizational skills, with high attention to detail
- Ability to eloquently manage multiple tasks simultaneously.
- Maintain a professional appearance and demeanor.

Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
