Job Overview:
We are seeking a highly organized and detail-oriented Office Manager effective immediately to join our team. The Office Manager will be responsible for overseeing the day-to-day operations of our office during business hours (flexible days/time), ensuring smooth workflow and efficient processes. This is a key role in our organization, requiring excellent communication skills and the ability to multitask effectively. The job will be working independent with support remotely and in person from Controller as needed. The owner usually stops in to say hello with any information updates on jobs or employees as well as some of the workers may stop in as needed also.
Responsibilities:
- Manage office, including answering phone calls, mail and responding to emails
-Daily communications with owner with regards to jobs and employe activies
- Maintain office supplies inventory and place orders as needed
- Coordinate and schedule meetings and travel arrangements
- Assist with file management, including organizing and maintaining physical and digital files on Google Drive.
- Oversee fleet of trucks and heavy equipment along with insurance, maintenance and registrations.
- Assist with expense tracking from employees in the field and cost to jobs.
- Utilize QuickBooks for financial record keeping: entering A/P invoices, help with new job estimates and contracts, save employee timesheets to Google Drive, may be asked to assist with entering payroll into Paychex software.
- Support HR functions such as onboarding new employees and maintaining employee records
-Work with web designer to revamp our website and help with marketing on Linked-In and other apps
Experience:
- Previous experience in an office management or administrative role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks or other accounting software is preferred
- Ability to handle confidential information with discretion

Job Type: Part-time
Pay: $25.96 - $27.12 per hour
Expected hours: 15 – 25 per week
