Seeking a friendly, high energy Office Manager for a small office in Portsmouth who is detail oriented and can manage their time in a fast-paced environment. Must be able to prioritize tasks and work independently. Must have expert level organization skills and experience in the insurance industry is preferred, however will be willing to train the right candidate. Candidate shall have working knowledge of Microsoft Office products, type a minimum of 40 wpm and be able to learn and utilize multiple software programs. Strong technology skills required.

Duties include:
· Oversee and manage the daily operations of the office.
· Monitor all emails and confirm appropriate responses given to clients, carriers, and other business contacts.
· Oversee calendar case preparation for all appointments. Identify action items and discuss with team members daily.
· Confirm all necessary data is captured in CRM and maintain files and documents.
· Assist with post meeting documentation.
· Review applications and policies for accuracy and signatures and remit to insurance company.
· Greet and assist visitors when they arrive for in person appointments.
· Prepare client files, both digitally and physically as needed, for the week’s appointments.
· Run quotes and proposals using company specific software. Compile presentation materials.
· Answer phones and handle all client service requests including scheduling, policy assistance and directing to others as needed.
· Check the mail and scan all annual statements and any other policy documents to database.
· Confirm reason for policy overdue notices and cancelations and follow up with clients as needed.
· Call to schedule annual review appointments with clients.
· Participate in seminars and other training for knowledge and skill development.
· Contribute to the marketing efforts of the agency when and where possible.
· Maintain procedures manual.
· Achieve a good working knowledge of insurance products and underwriting procedures.
· Participate in and implement special projects as assigned by management.
