Position Summary:
We are seeking a highly organized and experienced Office Manager to join our company. The ideal candidate will oversee and coordinate the administrative operations of our office, ensuring efficiency and smooth functioning. This position plays a crucial role in supporting our projects by managing office activities, personnel, and resources effectively.

Required Skills and Qualifications:

Proficient in computer applications, particularly Microsoft Word, Excel, and Outlook.

Exceptional multitasking abilities in a dynamic work environment.

Demonstrated capacity to maintain confidentiality of employee records.

Strong prioritization skills to manage various tasks effectively.

Ability to work both independently and collaboratively within a team.

Excellent communication skills, both verbal and written.

Preferred:

  • 1-2 years of administrative experience.
  • Bilingual a plus (Spanish/English)

Primary Responsibilities:

  • Efficiently input new customer orders into the Infor/Syteline operating system.
  • Verify credit terms and ensure accurate customer contact information.
  • Process daily data inputs from work orders, including materials, labor, and miscellaneous items, mail processing, accounts payable (AP), accounts receivable (AR) duties, and scanning of documents to e-database.
  • Conduct cost analysis and audit cost outs before submitting them to the manager.
  • Assist with HR tasks, including new hire procedures, injury reporting, and file maintenance.

Secondary Responsibilities (Weekly/Monthly):

  • Prepare payroll on Mondays, adhering to weekly deadlines (Friday/Monday).
  • Maintain truck logs at the end of each week for tracking purposes.
  • Track purchases and expenses, particularly during Month End closing procedures.
  • Conduct bank reconciliation tasks on Fridays and during Month End closing activities.

Backup Tasks and Skills:

  • Conduct audits on incoming production ticket materials and labor as required.
  • Proactively communicate with customers to confirm readiness for upcoming work.
  • Assist with office cleaning.

Additional Details:

  • Immediate availability preferred.
  • Work hours: Monday to Friday, 7:30 AM to 4 PM
  • Annual base compensation: starting at $48,000.00.
  • Incentives for additional duties as employee development progresses.
  • Additional base salary as experience warrants.

Preferred Skills and Qualifications:

  • 1-2 years of administrative experience.
  • Bilingual a plus (Spanish/English).
  • Knowledge of new hire paperwork and procedures.
  • Data entry experience, AR/ AP knowledge.

Physical Demands:

This position requires full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift to 25 pounds.
