The Office Manager will report to both the Managing Partner and the Co-Founder.
Job Overview :
The Office Manager will handle all aspects of our Los Angeles Office.
Responsibilities and Duties :
· Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
· Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly.
· Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and constant updates of contacts database and employee, artist, and daily job lists.
· Oversee and maintain office equipment for uninterrupted function, order and stock supplies, and coordinate food deliveries when requested.
· Manage all aspects of space planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested. Facilitating IT requests periodically.
· Monthly Expense Reporting for agents and Directors
· HR platform management
Qualifications:
· Two or more years of experience in office management with references.
· Strong time-management and people skills, positive and flexible working style, and excellent multitasking ability.
· Proficiency with office applications, and aptitude for learning new software and systems (Microsoft Office, Windows / OS X, Dropbox, Password Management Software etc)
· Ability to maintain confidentiality of all company information
· In person work 3-5 days per week in Beverly Hills, CA
Preferred skills and qualifications
· Bachelor’s degree or equivalent
· Advanced computer skills and experience with online platforms
Job Type: Full-time
Pay: $65,000.00 per year
