Position Overview:
We are seeking a highly organized and proactive Office Manager to join our team. The Office Manager will play a crucial role in overseeing day-to-day business operations, ensuring smooth functioning of the office, and providing support to our pool service and construction teams. Responsibilities:
- Field incoming phone calls and emails, providing professional and timely responses
- Manage schedules and appointments for pool service technicians and construction crews
- Coordinate with clients to schedule pool maintenance, repairs, and construction projects
- Oversee and organize administrative tasks such as filing, scanning, and data entry
- Maintain accurate records of client information, service requests, and project details
- Assist in billing and invoicing processes, ensuring accuracy and timeliness
- Monitor inventory levels and place orders for office supplies as needed
- Act as a liaison between office staff, field teams, and management, facilitating clear communication and teamwork
Requirements:
- Proven experience in office management, administrative support, or a related field
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software
- Ability to multitask and prioritize tasks in a fast-paced environment
- Problem-solving skills and a proactive approach to handling challenges
- Knowledge of pool service or construction industry is a plus, but not required
