PositionOffice Manager for a Financial Consulting Practice

GMT Wealth Management is seeking a full-time Office/Operations Manager. 

Mission:  Provide an optimal client experience through advisor support and client interface.

The position includes oversight of all operational systems, processes, administration, and internal controls.

You will play a vital role in all aspects of supporting our financial practice and client relations.

Key professional attributes needed for this job include: the ability to prioritize and implement  tasks quickly; problem-solve simple and complex business related challenges; ability to analyze and identify operational/client related issues and address them as they arise.

Operations Manager Experience and Skill Sets required. 

1.       A minimum of 10 years’ experience working in the securities and insurance industry.

2.       Must hold a current Washington or Idaho Life residence insurance license for life, health and disability.

3.       Must have active Notary License in State of Washington.

4.       A solid background in Microsoft Office Suite, e-Money©, online scheduling Apps, Redtail Client Relationship Management Software and, the ability to navigate a variety of financial trustee websites.   

5.       Excellent communication skills, both written and verbal.

               tasks, scheduling client appointments, and providing information to clients. 

        3.    The ability to assess, prioritize and/or delegate tasks and work collaboratively.    

 Detailed job description:

 Coordinate all aspects of the office management to ensure effective operations and the optimal client experience.

  •  Regularly report to and communicate with the Financial Advisor and team regarding client service and account management.
  •  Provide quick, effective responses to all account administration queries and issues, ensuring prompt and efficient problem  resolution, escalating issues if required.
  •  Coordinate and manage the account opening process with regular follow up and timely, professional client communication. Employ the “we call them, before they call us” philosophy with clients and use the same approach with the Financial Advisor regarding account/client issues.
  • Work collaboratively with LPL Financial back office and other third parties where appropriate, to create a smooth operational process. 
  • Manage and maintain Compliance Reporting for the office.
  • Maintain comprehensive communication records using a contact management system including email capture, notes, call history, tasks, FORM Profiles, etc.
  • Fully integrate the CRM with automation of each of your ongoing account administration and operational responsibilities
  • Coordinate and manage implementation of the following client service deliverables: 
  • Schedule and confirm all Client Review Meetings
  • Assist with basic Client Review Meeting preparation.
  • Coordinate all aspects of Education & Client Appreciation Events (Birthday, Holidays, Milestones as established by company branding processes.

2.    Assist with the posting of approved content to social media websites        (Facebook and LinkedIn) as specifically directed by the Financial Advisors.

  •   Monthly review of team website to ensure functionality of all links and initiate new articles for inclusion as well as, provide     feedback for other general enhancements. Distribute monthly newsletters through a website support App.
  •   Assist the team with technical support related to phones, PCs and software updates to ensure smooth operations for everyone.
