We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
Book keeping experience will be priotized as we review applications.
Accounts Receivable:
· Setup all member accounts and create files.
· Responsible for setup & processing of ACH payments of member accounts.
· Collect all mail and sort. Prepares payments/check for deposit and post on members accounts.
· Monitor and work past due balances, prepare collection accounts.
· Prepare account changes and billing for month end process. Process month end reports.
· Prepare and mail statements to members and or vendors.
· Create, setup, maintain billing codes in system.
· Assist with Point of Sale daily cash bags and bank safe change.
· Assist with monthly collection of member dues via checks and ACH payments.
· Input adjustments into member billing system and make any appropriate changes to member accounts.
· Customer service in answering phone call inquiries from members and vendors, research and resolve any issues and respond. Respond to all incoming emails. Research issue inquiries from members and vendors, research and resolve any issues and respond to them.
Accounts Payables:
· Request W-9’s from vendors and setup new vendors in system.
· Collect all mail, prepare, code and enter all accounts payable invoices into system. Proof accounts payable batch, release and prepare checks for weekly check run and print. Request manager review, approval, signature on checks and send out.
· Order, prepare, process and send out 1099 forms yearly.
Other Office Duties:
· Assist with HR data input for new hires, terminations, PTO request.
· Organize office operations and procedures.
· Assist and contribute towards marketing and social media communications as well as updating the company website as needed.
· Purchasing office supplies and equipment as necessary.
· Liaise with facility management and vendors to ensure smooth daily operations.
· Other duties as assigned.
Job Type: Full-time
Pay: Up to $60,000.00 per year
