Job description

We currently have an opportunity for a talented, forward-thinking individual who shares our vision of helping girls and young women change the world for the better. Girl Scouts of Oregon and Southwest Washington seeks an organized and self-motivated Office Manager / Business Services Manager.
What You'll Do
You'll manage the business operations of our Medford, Bend, and Eugene service centers, including ensuring proper maintenance of office equipment and facilities and providing backup support to the Medford retail store. You'll coordinate with the Retail/Office managers at the Bend, Eugene, and Medford service centers to ensure service centers are resourced appropriately and meet council standards. Additionally, you'll manage the member activities insurance process and provide administrative support such as data entry and filing in the electronic data management system.
Responsibilities
Medford Service Center Only

  • Open and close the service center according to posted business hours. Serve as the contact for emergency personnel (Alarm System, Police, and Fire).
  • Maintain a customer-friendly, tidy, attractive, and organized office and reception area.
  • Ensure continuous coverage of the lobby area, retail store, and phones.
  • In cooperation with the retail store associate, assist in the day-to-day operation of the retail store. Cover breaks and absences and support high-volume times as available.
  • Provide support to volunteers, including answering questions about programs and resources.
  • Maintain the petty cash fund of the service center, if applicable, including pay-outs, reconciliation, and replenishment in accordance with council procedures.
  • Maintain inventory of all office supplies and materials needed for staff and volunteer support and order supplies as needed.

Bend, Eugene, and Medford Service Centers
  • Coordinate with Retail Store/Office Managers to ensure all service center facilities and equipment are in working order. Coordinate repairs as needed, including partnering with the CFO and building owner when appropriate. Make recommendations to the CFO for necessary replacements.
  • Source and manage equipment, supply, and repair vendors in partnership with the CFO. Coordinate office equipment service contracts.
  • Maintain and control of the distribution of office equipment, keys, and door codes.
  • Uphold and provide guidance to Retail Store/Office Managers on council policies, procedures, and standards. Make recommendations to the CFO for additions or revisions.
  • Travel to service centers regularly to confirm council policies, procedures, and standards are being met.
  • Provide support to the Eugene and Bend retail stores when needed.

All Council
  • Manage the member activities insurance process and provide insurance certificates to members and staff as requested.
  • Manage room reservations for all council service centers. Provide support to staff and members with the room reservation processes.
  • Filing in the Electronic Document Management system.
  • Provide administrative and data entry support to Business Services and other departments as time allows.

  • Associate degree or equivalent experience. Bachelor's Degree preferred.
  • Two (2) years of experience in administrative support.
  • Previous experience in customer support.
  • Preferred: Previous retail experience and/or experience with point of sale (POS) equipment and applications.
  • Project management and excellent time-management skills with the ability to manage and meet multiple deadlines.
  • Ability to work independently and collaboratively.
  • Excellent interpersonal, relationship-building, and networking skills.
  • Leadership skills.
  • Creative problem-solving.
  • Strong communication skills, including verbal and written.

  • Must have reliable transportation and the ability to travel to meetings and other locations.

The Details
  • Compensation - Non-exempt, hourly, starting at $25 to $31.25 per hour, depending on experience, plus $1.25 for Spanish language skills at a conversational level or better.
  • Benefits - Health, dental, and life insurance. We also provide a generous retirement plan, paid time off, and paid holidays. See more details on our website.
  • Hours - Full-time, 40 hours per week, Monday through Friday, 9 a.m. to 5 p.m. Must be willing to work a flexible schedule, including occasional overtime, evenings, and weekends. Must be willing to travel to other locations approximately 5% of the time, including some overnight stays.
  • Location - This position is based out of our Medford Service Center and must occasionally travel to the Bend and Eugene Service Centers and other locations as needed.
