Our successful Office Manager will be highly organized, energetic, process-oriented and people savvy. Responsibilities include but not limited to:
This role works closely with the District Manager, and collaboratively with the District Team and Home Office personnel.
Be the District’s ambassador of our company values and culture
Coordinate regular performance reviews, reward and discipline as needed, address complaints, and resolve problems
Maintain personnel files, ensure everyone is up to date on certifications, licenses, etc., and respond to record requests
Backup our Logistics and Operations Admin’s with great customer service
Be the backup “On Call” periodically
Continuously improve systems and processes
Protect the organization's value by keeping information confidential
Collaborate with others in Accounting, Safety, Engineering, Human Resources, Marketing, Sales and Operations departments
Work cooperatively with all levels of employees and management
Report directly to the District Manager
Keeping the company’s filing system in order, assisting with implementation of new administration systems
Establishing timelines for the administrative team to meet specific tasks and hold team members accountable for standardized process steps, including meeting invoicing deadlines.
Understand and be able to perform all administrative tasks of their team for cross training and accountability purposes
Work with Shop Supervisor to maintain inventory levels, counts and disciplines
Be willing to travel to the Louisville office for training purposes.
Skills:
Proven experience as an Office manager, Executive assistant or Administrative assistant
Proficiency in the MS Office suite of programs
Excellent time management skills and ability to multi-task and prioritize work
Background with Engineering, or Technically oriented organizations preferred
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
Experience coordinating travel arrangements i.e.. Flights, hotels, rental cars, etc..
