At Diverzify, we believe our associates are at the heart of our organization. We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. You will be responsible for include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.
Here's what we are looking for…
- Organize office operations and procedures and partner with HR to update and maintain office policies as necessary
- Ensure that all items are invoiced and paid on time, to include AIA billings.
- Use of Customer Billing Systems
- Coordinate with IT department on all office equipment
- Manage contract and price negotiations with office vendor and service providers.
- Manage office G&A budget, ensure accurate and timely reporting and project completion procedures
- Assist in the onboarding process for new hires
- Address employees’ queries regarding office management issues.
- Liaise with facility management vendors and Accounts Payable to ensure timely payment of payables
And you would have the following…
- High School degree required (Bachelor in Business Administration preferred)
- 2 – 3 years of proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Knowledge of Office Administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular, familiarity with email scheduling tools, like Outlook)
- Hands-on experience with office machines.
