Office Manager/Administrator
Part-time hourly job. Does not manage others. Exempt: Does not work in the field.
Summary: The Office Administrator sets a magical standard for customer service. They are available to communicate with customers, schedule employees, do simple front-end bookkeeping, and set up employees with what they need to be successful. An Office Administrator is the engine that keeps our operation running smoothly. Estimated schedule needs are THREE (3) easy days each week April through August, (1) ONE day per week during September, October, and November. Winters off.
Requires professional experience as an Office Administration, Human Resources associate, or related role, comfort using online apps, and at least ONE (1) full year of professional customer service experience. Candidates must be able to hand-off the company phone at our HQ in rural Victoria, MN, when not on duty, possibly several times each week. Requires some QuickBooks knowledge and ability to work efficiently with Google Drive storage.
Compensation:
- Starting hourly pay of $19.50-21.50 per hour, more with experience.

Responsibilities:
· Accurately enter and categorize all receipts into accounting software
· Intake duties: enthusiastically answers phone calls, emails, and other communications, sets leads, reminds leads, and follows up.
· Heads efforts to reconcile Additional Work Orders to 100% accuracy using Progress Report information, Work Orders, and other communications
· Builds accurate customer files, company records, orders and office organization.
· Follows up with Sales or Production to get incomplete files completed
· Elevates employee morale, positive attitude.
· Prepares payroll and payments including calculating commissions, bonuses, expense reimbursements, etc. within 24 hours of bi-monthly pay days or by noon Fridays when paydays fall on weekends.
· Prepares training documents and ongoing education-related needs for employees
· Creates and send invoices as well as calling on accounts receivable
· Prepare and send “thank yous”, mailers, and other outgoing communications
· Create, maintain, and manage organization of office needs
· Use time wisely and to the betterment of the company
· Optional Greenhouse manager duties
· Continuously monitors and improves systems for ease, “fool-proof” design, and better results
· Prepares and schedules onboarding sessions for all new hires, company meetings.
· Additional duties within the realm of office work as needed.
· Tracks employee hours for Full Time/ Part time qualifications.
