Pay rate: $70-80K annually, depending on experience and qualifications

Office Manager Expectations

  • You will be the first person in the office each day, as early as 6:30am. You are proactively communicating information throughout the day in order to make adjustments, so our office is running smoothly from one day to the next.
  • Some projects will have extremely short deadlines that have “Drop Everything” status and you'll need to adjust the rest of your tasks so you can complete the project in time, even if it means staying late.
  • This seat is the switchboard for the office and all calls come through you. Expect to answer upwards of 30 calls per day.
  • Each day you'll spend significant time responding to calls, voicemails, and emails to answer questions for customers and prospects, documenting as you go.
  • One of the most important jobs will be talking with potential customers on the phone to determine if our services are a good fit for their project.
  • It will be crucial for you to schedule our estimator's appointments with efficient routing and prevent them from being overscheduled.
  • It will be your responsibility to make sure bills and payroll are paid on time, and other bookkeeping activities are kept up to date.
  • You'll be responsible for ensuring materials are procured before projects begin so your coworkers have what they need before they need it.
  • You'll keep the cash flowing in by answering any questions customers have about their bill and following up with customers to receive their payments.
  • You'll be taking care of light HR duties, such as new hire paperwork, securing certificates of insurance for subcontractors, and keeping track of time off, etc.
  • You’ll be responsible for following up on our leads from social media and our digital marketing platform.

Office Manager Skills and Experience

We're flexible on the number of years of previous experience for this role. We highly favor talent, interest, and drive to continue to improve a company’s culture.   • Service Scheduling, Logistics, or Dispatching experience
  • Office Manager experience
  • Administrative support experience
  • Basic bookkeeping experience
  • Data entry and Excel experience
  • Experience working with a CRM
  • Experience using a scheduling software
  • Experience using a digital marketing software is a plus
  • Bonus points for experience implementing or managing social media.
