Job Title: Office Manager
Position Overview:
1. Office Management: Oversee the overall organization and maintenance of the interior design office and showroom, ensuring a welcoming environment for staff and clients alike.
2. Front Desk Duties: Greet clients and visitors with warmth and professionalism, managing incoming calls, emails, and inquiries promptly and courteously.
3. Appointment Scheduling: Efficiently manage the appointment calendar for the design team, coordinating meetings, consultations, and presentations.
4. Client Communication: Act as a liaison between clients and the design team, maintaining clear and regular communication throughout the design process to ensure a seamless client experience.
5. Procurement Assistance: Collaborate with the design team to coordinate product orders, vendor inquiries, and delivery logistics.
6. Project Tracking: Assist in tracking purchase orders and invoices to ensure accurate financial records and cost management.
7. File Management: Maintain an organized digital filing system for all design-related files making them easily retrievable for future reference.
8. Payroll Management: Take charge of the payroll process, ensuring accurate and timely payment of employees. Maintain employee records, track attendance, and process timesheets to calculate salaries and deductions.
9. Financial Management: Assume responsibility for comprehensive tracking of all financial transactions, including client payments and our outgoing invoices related to expenses. This involves meticulous monitoring of all incoming and outgoing funds, ensuring a clear and accurate record of our financial operations.
Requirements:
- Proven experience as an office administrator, administrative assistant, or similar role (preferably in the interior design or related industry).
- Excellent organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
- Strong interpersonal and communication skills to interact with clients, vendors, and team members professionally and cordially.
- Strong attention to detail and accuracy in all tasks
- Ability to work closely with the design team
- A keen eye for design aesthetics and an understanding of interior design concepts is desirable but not mandatory.
- Proven experience in payroll and financial management and administration, preferably within an office environment
