Summary: Office Managers provide support for the school staff, parents and students by maintaining efficient management of the office, preserving a friendly and harmonious atmosphere, managing student and school records and promoting communication.

Essential Duties and Responsibilities:

All or some of the following tasks may be required. Other duties may be assigned.

  • Perform word processing, spread sheet, database and web application functions.
  • Produce and maintain accurate records as assigned.
  • Maintain student files.
  • Act as a personal secretary to the principal and vice principal.
  • Make minor decision and originate correspondence involving routine school business at the direction of the building administrator.
  • Use personal initiative to cooperate in performing related duties necessary to the full accomplishment of district and school objectives.
  • Effectively work with other employees and deal with the public involving district commitments through the use of oral and written communication.
  • Work under conditions which involve frequent interruptions and noise while effectively handling business with students, teachers, staff, administrators and the public while maintaining a pleasant office environment.
  • Apply sound judgment and reasonable means in dealing with students, teaching, staff and the general public.
  • Receive incoming telephone calls and greet visitors and parents with efficiency and hospitality.
  • Receive and respond to e-mails from staff and general public with speed and professionalism.
  • Provide basic health services to students (first aid, medication administration, etc.)
  • Supervise office staff and student assistants.
  • Manage student and staff accounts.
  • Prepare special reports as required in a timely manner.
  • Abide by District purchasing procedures. Monitor building and student account expenditures.
  • Perform receptionist duties.
  • Supervise registration of students.
  • Maintain student information in the student data management software system.
  • Maintain confidentiality of student records and school related matters.
  • Keep accurate and up-to-date inventory of school and office equipment and supplies.
  • Spell correctly and use proper English.
  • Perform physical tasks as required.
  • Make accurate mathematical calculations when requested.
  • Follow and carry out oral and written directions with speed and accuracy.
  • Effectively operate office, computer, and audio-visual equipment.
  • Utilize the chain of command procedure when attempting to resolve problems or when seeking changes.
  • Participate in appropriate professional development activities.
  • Comply with all Board policies, administrative regulations and District procedures, as well as all state, federal and local laws and regulations.
  • Performs other duties as assigned.

Qualifications:

  • High School Diploma is required.
  • Must be at least 18 years of age.
  • Possess skills in clerical duties and skills in office administration.
  • Business school training or three years secretary or school experience is desirable.
  • Utilize technology in the performance of effective office operation.
  • Eligible to be bonded.
  • Must have exceptional personal integrity, maturity, collaborative skills and personal interest in working with students, staff, parents and the community.

This position requires the individual to meet multiple demands from several people and interact with the public and other staff.

Work is predominately inside and generally provides protection from the weather but not necessarily from temperature changes. Some outside duties are required. Occasionally required to ascend or descend stairs or similar uneven surfaces. May be exposed to communicable diseases and blood-borne pathogens.

Reports To:

The Office Manager will report to the building Principal.

Terms of Employment:

Salary and work year as determined by the administration and in accordance with Board policy, individual work agreements and the collective bargaining agreement.
