Summary:
360 Fire & Flood is looking for an office administrator to join our team. This position provides support for office operations and activities. A successful candidate must be able to keep job management data up to date and organized, assists with billings and collections as needed.
- Answers and screens telephone calls professionally and timely; takes accurate messages with professionalism and courtesy; arranges conference calls.
- Tracks the receipt and processing of project data; reviews key data after receipt for completeness and consistency; enters data into information management or data collection system; ensures accuracy of all data entered.
- Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
- Performs general clerical duties including filing, photocopying, faxing, and mailing.
- Assists with job billings and follows up on collections, as needed.
- Proactively establishes and maintains a highly organized filing system; files correspondence and other records Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Exercises considerable judgement and discretion in handling requests for appointments and telephone calls. Composes, types, formats, and distributes professional correspondence and memoranda, E-mails and faxes, and project reports and documents using individual initiative and as assigned.
- Performs other related duties as assigned by management.
- Minimum of two years office experience.
- Prior experience with PSA Proven Jobs and T&M Pro, a plus.
- Excellent verbal and written communication skills.
