Job Overview:
We are seeking an organized and proactive Office Assistant to add to our small, but rapidly growing team.
We are ideally looking to fill two full-time positions.
We are a compliance testing company in the petroleum industry that is growing quickly due to increased government regulations across our industry.
This position is initially in-office but we would like to transition to 50-75% remote work within the year.
Flexible schedule, lots of room for growth, casual work environment.
The ideal candidate(s) will be responsible for handling various administrative tasks and working alongside the office manager to ensure the smooth functioning of our operations and day to day processes.
This role requires a detail-oriented individual with communication and multitasking skills. Industry-specific experience not required.
Key Responsibilities:
Assist in managing office operations and procedures.
Assist in the preparation of compliance reports and documentation.
Prepare and edit documents, reports and invoices to be sent to customers.
Handle incoming calls, emails, and correspondence with customers, subcontractors, government agencies and regulators.
*Our call volume is VERY low - most of our customer communication is done via email.
Assist in maintaining accurate and up-to-date records of all compliance testing performed. Organize and maintain physical and electronic files.
Maintain office supplies as needed.
Assist in scheduling for staff in-field.
Act as a liaison between management and customers, regulatory agencies and staff.
Input and update information in databases and spreadsheets.
Preferred Qualifications:
Customer service or office experience preferred.
Proficient in Google (Drive, Sheets, Calendar, etc.) and Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational and time-management skills.
Excellent written and verbal communication abilities.
Ability to maintain confidentiality and handle sensitive information.
Positive and proactive attitude.
Strong problem-solving skills.
Ability to work independently and in a team.

Starting pay is $20-$23/hr DOE with a raise after probationary period.
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
Expected hours: 32 – 40 per week
