Job Summary
The Dietary Office Assistant supports the Dietary Department with a variety of clerical duties including filing, daily deposits, monthly invoices, payroll deduction report, maintaining log files, food truck orders and scheduling, credit/debit card reporting, department charges, catering requests, patient meal reporting, updating dashboards, sort thru mail, plus other duties as assigned.
Essential Functions
- Ability to be well-organized and adhere to deadlines
- Oversee clerical tasks including daily deposits, invoices, and filing
- Ability to maintain files and logs
- Respond to catering requests, schedule and invoice
- Answer phone calls and emails
- Schedule meetings and send meeting invitations
- Reviews and maintains equipment manuals, warranties, logs, and required documentation.
- Maintains patient logs in accordance with department policies and procedures.
- Effectively uses computer applications as needed
- Maintains a thorough knowledge of department forms and logbooks

Regulatory Requirements
- High School diploma or equivalent
- Previous experience in business office, dietary or healthcare setting is preferred

- Knowledge in general clinical services
- Strong organizational and interpersonal skills
- Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude
- Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work
- Ability to maintain confidentiality of all medical, financial, and legal information
- Ability to complete work assignments accurately and in a timely manner
- Ability to communicate effectively, both orally and in writing
- Ability to handle difficult situations involving patients, family members, physicians, or others in a professional manner
Physical Requirements and Environmental Conditions
- Work is performed during regular work hours but may require evening and/or weekend hours to meet deadlines.
- Position requires light to moderate work with 50 pounds maximum weight to lift and carry with pushing and pulling of heavy objects
- Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing
