Position Summary

The Executive Administrative Assistant’s primary role is to support the Chief Executive Officer (CEO), Chief Financial Officer (CFO), and Chief Operating Officer (COO) of the companies. They will cover the front desk and oversee the routing of employee and customer calls and office visitors. They will serve as an important gatekeeper for the top executives of the company and other office personnel.

The person in this role will attend all executive and upper-management meetings, and keep appropriate meeting minutes. They will oversee meeting scheduling, maintenance of office supplies, cleanliness of the office, and any office-related maintenance issues.

Major Duties and Responsibilities

o Support the CEO, CFO, and COO as an executive assistant, including booking travel arrangements, managing calendars, being a gatekeeper for the executive team, assisting with special projects in accounting and operations management (no prior accounting experience required, but would be helpful). All other special or ongoing projects as needed.

o Receive, sort, date stamp, and redistribute all incoming daily mail, including packages. Manage all outgoing mail.

o Maintain appropriate inventory levels of all office supplies and restroom supplies; order/purchase/restock supplies as needed.

o Schedule and coordinate maintenance and/or repair work for office facilities and office equipment (copy machine, fax machine, phone system).

o Reserve meeting rooms; ensure room size will accommodate number of meeting attendees.

o Prepare handouts for meetings; ensure there are enough copies made.

o Manage all catering needs for scheduled meetings; ensure food delivery times are confirmed.

o Attend executive management meetings and record meeting minutes – submit to leadership for approval; distribute approved minutes.

o Make travel arrangements for Executive Team members as needed and/or requested.

o Assist with event preparation and organization.

Other Duties

o Operate office equipment – make copies, fax documents, scan documents and move them into the correct electronic file folders.

o Work on special projects as assigned by the leadership team.

Computer Skills

o Basic computer skills required using Microsoft Office Suite products.

 Create or edit correspondence in email or using our customer engagement software.

 Create reports, including charts and graphs using Excel spreadsheets.

 Create PowerPoint presentation slides.

 Maintain Outlook Calendars for executives.

o Use and manage Outlook email.

Minimum Qualifications

o Positive attitude and eagerness to learn and grow.

o Trustworthiness (ability to maintain confidential information).

o Critical thinking.

o Ability to cooperate with a team and to solve problems and challenges as they arise.

o Able to speak, read and write in English; can communicate clearly; use proper grammar.

o Polite, professional demeanor.

o No degree required.

Physical Requirements

o Requires repetitive motion related to typing and data entry tasks.

o Sitting for long periods.

o Ability to lift and stock office supplies; lift up to 30 lbs.

o Requires working indoors in environmentally controlled conditions.

Pay: Starting at $18 / hour
