Job Brief
We are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail as well as incorporating new and effective ways to achieve better results.
Responsibilities
· Answer phones with professional manner and voice, answer customer questions, take messages and direct calls. Must be patient, kind and jovial. Must enjoy speaking to people and answering inquiries.
· Process customer bill payments in compliance with financial policies and procedures, including computing, posting, and recording accounts receivables data. Send bill/payment reminders via email or phone call.
· Verify account discrepancies and resolve customer billing issues.
· Email/phone communication with customer, from order inception to completion. Includes: product inquiry, assist in customer decision, create and send quotes, create and send invoices, process credit card and send receipts, create PO for product ordering, check in products, ship out products to customer (requires experience with Fedex, USPS, etc) and follow up on customer satisfaction
· Light inventory management, light shipping. Must be willing to learn product line and speak knowledgably about it.
· Other duties as assigned
Requirements
· Familiarity with bookkeeping and A/R processes and procedures such as billing and collections
· Competency with computers and software; MS Office (Excel and Word, priority), accounting software (Quickbooks), and Adobe Acrobat
· Data entry and word processing skills along with a knack for numbers
· Excellent time management skills with the ability to prioritize work
· Customer service orientated, Excellent written and verbal communication skills (tone, grammar, spelling, etc)
· High degree of accuracy and problem solving skills
· Ability to perform filing and record keeping tasks
· Strong organizational skills, time management skills with the ability to multi-task
· High School degree; previous experience working in an office a plus
Job Type: Part-time
Pay: $17.50 per hour
