○ Enerje Wellness Office Assistant provides administrative and operational support to
psychotherapists in a mental health practice. They play a crucial role in ensuring the smooth
functioning of the office and assisting with client interactions. The ideal candidate for this
position is organized, detail-oriented, and possesses excellent communication and
interpersonal skills.
○ Job Type: Part-time, Morning Shift, Monday to Friday
○ Work Location: IN PERSON/HYBRID
○ High school diploma or equivalent; bachelor's degree preferred.
○ Previous experience in an administrative or office support role is desirable.
○ Familiarity with mental health terminology, processes, and ethics is a plus.
○ Strong computer skills, including proficiency in MS Office and scheduling software.
○ Excellent communication and interpersonal skills to interact with clients and colleagues in a
professional and empathetic manner.
○ Exceptional organizational and multitasking abilities, with a keen eye for detail.

○ Scheduling and Appointment Management:
➢ Coordinate client appointments, including scheduling, rescheduling, and
cancellations.
➢ Maintains an organized appointment calendar, ensuring efficient use of time
and availability of therapists.
➢ Send appointment reminders to clients via phone, email, or other
communication channels.
○ Client Communication and Coordination:
➢ Serve as the primary point of contact for clients, both in person and over the
phone.
➢ Respond to client inquiries, providing information about services, availability,
and general office policies.
➢ Obtain client information and initiate the necessary paperwork, such as intake
forms and consent documents.
○ Office and Administrative Support:
➢ Maintain and organize client records and documentation, adhering to
confidentiality and privacy regulations.
➢ Assist with billing and insurance processes, verifying client insurance
coverage, and submitting claims.
➢ Manage the inventory of office supplies, ensuring their availability and
initiating reordering when necessary.
➢ Coordinate with other staff members to facilitate efficient office operations and
a comfortable client environment.
➢ Maintains payroll information by collecting daily, weekly or monthly timesheet,
calculating, and entering data.
○ Collaborative Support to Psychotherapists:
➢ Assist psychotherapists with administrative tasks such as preparing treatment
rooms, organizing therapy materials, and keeping therapy spaces clean and
tidy.
➢ Provide support during psychotherapy sessions, as requested by therapists.
➢ Assist with the distribution and collection of assessment tools, questionnaires,
and surveys, as needed.
Job Type: Part-time
