We are looking for a full-time responsible Office and Operations Coordinator to perform a variety of administrative and office coordination tasks. Duties of the Office and Operations Coordinator include being welcoming and hospitable as the first point of contact to visitors and callers to Trees For Houston; handling daily Office and building needs and calendar; and providing administrative support to directors. Ability to multi-task and communicate politely and professionally with a positive attitude is a must. Requires being a self-starter, consistent, reliable presence with a willingness to be flexible before and after standard business hours (as needed).

- Handling office tasks
- Manage office phone system
- Route phone calls; take messages
- Answer general emails
- Manage campus calendar
- Assist building tenant with campus calendar
- Order and maintain inventory of Office and building supplies
- Oversee office kitchen
- Routine building walk through
- Route building mail
- Assist using AV system
- Assist with scheduled tree pick ups
- Board Liaison
- Maintain contact information; Support committee needs
- Communicate meetings and event information
- Prepare for meetings – printed materials, food, room
- Take minutes at monthly board meetings
- Support annual board nominations process
- Point of contact for building / campus vendors
- Gates operations
- Janitor and waste vendor

- Security (Monitor surveillance cameras and alarm system)

- Data entry and clean up in donor database using Bloomerang
- Create and send donor tax receipts
- Support stewardship efforts including pulling reports

- Support with fundraising mail outs
- Support and engage with RedBuds Emerging Leaders Group
- Conduct research
- Bookkeeping support
- Gift reconciliation with Quickbooks
- Record of cash and pledges. Apply donor payments in the A/R using QuickBooks
- Record of vendor invoices in the A/P using QuickBooks
- Support with data entry in other databases (tree and inventory) using Microsoft Office
- Support in preparation for annual audit (prepare reports and files)
Other Potential Duties:
Job Requirements:
- Associates Degree or College Degree in a related field
- Accounting knowledge is a plus
- 1 to 3 years administrative experience
- Proficiency in MS office suits
