Job Summary
Provides comprehensive administrative support to the assigned Plant Manager, Site Quality Head and their teams. This position will organize and plan daily, weekly, monthly calendars, prioritize appointments, emails for response and act as a gate keeper for the assigned Plant management team. Handles the coordination of calendars for a variety of meetings and travel arrangements. Creates and coordinates appropriate reports and presentations. Coordinates internal and off-site meetings and prepares presentation materials and all room and catering needs. Interfaces regularly with executives both internal and external to the organization. This role requires a high level of professionalism to work with employees at all levels of the organization and could collaborate and demonstrate sound judgement and discretion in working with confidential information.
Responsibilities
- Provides outstanding customer service acting with the appropriate sense of urgency on requests.
- Serves as a point of contact to people internal and external for the company. Coordinates and leads special projects.
- Collaborates with others as needed to verify timeliness and task completion. Generate and distribute important, and at times confidential documents (memoranda, reports, meeting minutes, general correspondence).
- Prepares and creates presentation materials for a wide variety of meeting types.
- Manages the daily, weekly, and monthly schedule for the assigned Senior Executive Management Plans, schedules and coordinates meetings/calls, conferences, business travel arrangements and maintains the business calendar for the assigned Senior Executives.
- Coordinates all details surrounding meetings (room, equipment, catering, etc.) including publishing minutes and follow-up for action item completion with assigned owners.
- Completes travel and expense reports on time for executives and reconcile monthly credit card statement.
- Plans and executes employee events for assigned functions. Screens and directs telephone calls and visitors.
- Generate and maintains electronic and paper filing systems.
- Serve as a subject matter expert on the use of Instore, an indirect purchasing management system.
- Assist other employees as needed in properly entering and approving purchase orders in Instore.
- May lead, mentor and train other staff. Assumes additional duties, projects and responsibilities as assigned.
