The Office Administrator serves a vital role in the success of the Admissions and Student Services teams at Texas County Technical College and is responsible for providing administrative support to staff and faculty, current and prospective students, and guests. Under supervision, this position supports the enrollment efforts of TCTC by providing admissions information to prospective and newly admitted students and creating communication materials. This position represents the College to prospective and newly admitted students through numerous interactions, both face-to-face and virtually.
- Answers incoming calls and direct the caller to the appropriate person; if asked for by name, or department.
- Maintains a customer focus through organization, professionalism, and warmness to our potential and current students.
- Assists each lead and/or inquiry to our college in an honest, caring, and thorough manner.
- Greets and directs visitors to the campus.
- Receives, sorts and forwards incoming mail.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
- Assists with related clerical duties like photocopying, faxing, filing, and collating.
- Manages student badging, creating badges for new students and replacing lost badges.
- Submits attendance.
- Crafts professional verbal and written communications with little to no oversight.
- Maintains confidentiality, following HIPAA, FERPA (Federal Education Rights & Privacy Act), and other applicable laws and regulations at all times.
- Adheres to all compliance and regulatory standards.
- Communicates with prospective students, parents, and the community through appointments, phone calls, emails, and other materials.
- Conducts effective phone presentations and interviews with each candidate.
- Processes paperwork; interviews applicants; arranges and conducts campus tours.
- Proctors Admission Testing
- Conducts follow-up activities to prospective and new students such as letter writing and phone-calling campaigns.
- Conducts student follow up calls for scheduling and document requests.
- Maintains recruiting operations by following policies and procedures; reporting needed changes.
- Advises students and families regarding educational opportunities and options, admission and other requirements, policies, and procedures as appropriate.
- Increases percentage of enrollments and starts from leads through training, experience, and diligence of prospective student follow-up with the prospect through correspondence and routine phone conversations to aid in completion of the enrollment process.
- Works cooperatively to provide appropriate data for reporting, institutional research, and institutional effectiveness.
- Works to maintain the integrity of the student database (admissions to permanent records) to ensure complete accuracy for local records and state, and federal reporting.
- Completes all appropriate paperwork when a new graduate is placed and document all placement activities in the appropriate places
- Maintains a minimum 70% placement rate for each program offered by the Campus.
- Maintains appropriate and accurate placement records in accordance to ABHES standards.
- Establishes and maintains an electronic database containing student and graduate employment records, as well as, maintaining complete hard-copy records.
- Counsels individuals to help them understand and overcome personal, social, or behavioral problems affecting their educational or vocational situations.
- Assists and participates in the public relations activities of the College.

- High School Diploma or equivalent (Associates Degree from an accredited college or university preferred).
- 1 to 3 years' experience in admissions, retail sales, consumer marketing or recruitment.
- High degree of professionalism and discretion dealing with confidential information.
- Must be organized, professional, and warm to our potential and current students.
- Exceptional ability to organize, prioritize and multi-task in an extremely dynamic environment.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of individuals in a diverse community.
- Skill in the use of computerized systems and databases.
