Office Administrator w/Accounting experience

Job brief:
As our Office Administrator you will be the first point of contact for the company, and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all administration, office responsibilities, and assigned accounting duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities
· Support HR Manager (new hire processes, Interviewee’s)
· Greet interviewees.
o Alert manager of arrival
o Setup interviewee in conference room
· Assist with new hire process.
o Take pictures for badges & create picture badges.
o Create new hire badges.
o Greet new hires and introduce new hires to team members.
o Replace lost or damaged badges when necessary.
· Responsible for building maintenance, repairs, and cleaning
o Ensure parking lot and surrounding areas are clear of debris.
o Confirm weekly cleaning is complete.
o Setup repair and maintenance calls for all office equipment
§ Including refrigerator, A/C units, toilets etc.
· Supports all intercompany departments as required.
· Order and maintain office, cleaning, and breakroom supplies.
· Order breakroom snacks and supplies
· Purchase and stock breakroom supplies, i.e. Soda, Coffee, Cups
· Decorate reception area and breakroom for the holidays
· Attend to visitors by greeting, welcoming, directing and announcing them appropriately.
· Manage incoming front office deliveries.
· Maintain facility security by following procedures and controlling access (monitor logbook, issue visitor badges).
· Planning meetings, corporate events or coordinating schedules among staff members of different departments.
· Coordinate Employee Appreciation Events
· Manage the conference rooms scheduling.
· Answer, screen and forward any incoming phone calls while providing basic information when needed.
· Manage incoming and outgoing mail and its delivery.
· Provides auditors with assistance gathering necessary account information and documents to perform monthly, quarterly, and annual audits.
· Processes A/P Invoices & monitoring Accounts daily.
· Processing check runs & reviewing outstanding payables.
· Provides occasional support with respect to Training /Bell distribution processes.
· Creates various monthly / weekly reports.
Requirements:
· Professional appearance
· Proven working experience in similar roles.
· General knowledge of Financial Accounting
· Proficient with Microsoft Office Suite
o Excel, Word, Outlook in particular
· Team oriented.
· Handle special projects and requests as needed.
· Ability to be resourceful and proactive in dealing with issues that may arise.
· Ability to multitask and prioritize tasks.
· Proven office management, administrative or assistant experience
· Excellent time management skills and ability to multi-task and prioritize work.
· Attention to detail and problem-solving skills.
· Excellent written and verbal communication skills
· Certificates and or degree in business administration or a related field can help you advance in this career. Minimum High school degree, 5+ years related experience.
This is a Full-Time permanent position.
Salaried exempt paid position, wage based upon academic completion, experience, and level of job requirement knowledge.
