Office Administrator

Basic Function: The Office Administrator will maintain daily office duties and coordinate all functions within the office as needed.

Essential Duties:

• Answer phones, take messages or direct calls
• Open service and sales jobs/projects
• Enter service time daily
• Create purchase orders and receive when delivered
• Invoice customers for service and sales billings
• Enter vendor invoices
• Create Customer Job e-Files, scan all documents to files
• Enter purchases and reconcile Regions credit card statement
• Support completing new vendor and new customer applications
• Work with Accounting Department, payables, receivables, month end
• Timesheets/Payroll for local office employees
• Supporting other office needs

Education: High School diploma or equivalent required.

Experience/Abilities:

• Minimum 1 year as an administrative Administrator, or role with similar responsibilities.
• Ability to demonstrate basic skills in MS Word, Excel, and Outlook. Ability to learn new computer-based tools. (Experience with Salesforce and IFS enterprise software preferred.)
• Ability to learn, understand, and communicate (write, speak, listen) company-based information.
• Efficient and accurate operation of office equipment.

Physical skill and effort:

• Ability to lift up to 20 pounds.
• Ability to sit for long periods of time.
• Ability to stand, walk, bend, squat, and file.
