Job Summary
- TerrePower is a new division of BBB Industries, committed to solar and electric vehicle upcycling. Ontility supplies top quality PV panels, inverters, mounting hardware and other solar products to solar integrators and other qualified solar contracting firms. Our company is looking for an Office Administrator/Sales Support to assist our solar sales and purchasing team. This position will be based in Houston, TX and be fully in the office, Monday - Friday.
POSITION OVERVIEW
- Process sales orders in NetSuite, tracking all sales orders from start to close.
- Serve as the primary liaison between the Sales and Accounting departments, addressing payment applications and statuses.
- Provide weekly A/R Aging report to sales team and management while collaborating with Accounting to assess any issues.
- Evaluate customer credit applications and submit them to the Treasury department for approval.
- Support the Lifecycle department with customer account creation and order entry in Oracle.
- Assist the sales team in various tasks aimed at managing customer accounts and order accuracy, which includes handling sales tax-related responsibilities.
- Provide daily and weekly summary reports detailing quotes, sales, and gross profit metrics.
- Serve as office administrator by managing the calendar, supplies, phone calls, mail and support any other office facilitation needs.
- Answering phone calls, transferring callers as appropriate.
- Greeting customers and visitors to the office, ensuring guests are comfortable and relate to the right office personnel.
- Managing schedules for conference and community spaces.
- Monitoring and ordering inventory for office and break room supplies.
- Managing incoming and outgoing correspondence, including emails, faxes, mail, and packages.
- Filing and organizing records, invoices, and other important documentation.
Minimum qualifications
- Associate-Degree in a relevant field or 4+ years of experience
- Administrative experience
- Computer proficiency
- Organizational skills
Preferred Qualifications
- Bachelor's degree is preferred but not required.
- Project management experience (preferred)
- Good communication and collaboration skills.
- Willingness to work flexible hours as needed.
