Job Description
The Scheduler/Aviation Office Administrator is responsible for providing outstanding service to guests by using excellent, in-depth knowledge of company procedures and ensure proper scheduling of all flights as well as communicating effectively with guests, pilots, and team members within the aviation department. Maintain operational control of all flight activities associated with planning, scheduling, and ground handling of aircraft movements to expedite their completion with excellent service and safety. Oversee aviation department office functions and general administrative duties.
Essential Functions
- Schedule and coordinate executive travel on company aircraft in compliance with FAA, company Flight Operations Manual (FOM), and foreign state regulations as applicable.
- Work with internal contacts to coordinate aircraft use and travel schedules.
- Maintain and update aircraft and crew flight schedules including computer software related to flight planning and logistic support. PFM)
- Prepare trip packets for domestic and international travel. Gather information and perform dispatch brief and debrief with flight crews as required regarding any passenger needs or requests.
- Active participant and contributor with BASC and other internal/external audits and safety related functions.
- Creates meeting agendas, meeting notes, and disseminates this information and accountabilities to staff on operation and safety meetings.
- Provide accounting services support for managing of costs, SIFL/IRS/SEC reporting, auditing and report generation, including submitting invoices for payment, processing chargebacks and participation in annual budget preparation for the aviation department.
- General administrative and office tasks including phone reception, assuring proper and secure building access by passengers, guests and vendors, purchasing aircraft/kitchen/cleaning/office supplies and assuring adequate amounts of stock are both on hand for use and fresh.
Required Education and Experience
Ability to pass an FAA, TSA, and Law Enforcement background/fingerprint check to obtain an SAT SIDA access badge with escort privileges.
Schedule flexibility a must. Available to work weekends, nights and holidays as required.
Ability to lift up to 50 pounds of work in tight spaces.
Bilingual (Spanish) preferred.
