Job Summary:
Allied Therapy Partners is a therapist owned and operated in-home private rehabilitation practice specializing in physical therapy and occupational therapy throughout the greater Chicagoland area. This position is a fully remote, W2 position with working hours to be 6 hours per day, 5 days per week, Monday through Friday. This position has the potential to become a full time role with benefits as the practice is growing rapidly.
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for managing the day-to-day operations of our mobile office, including managing and overseeing staff schedules, scheduling patient appointments, customer onboarding and general customer service duties, insurance billing, patient invoicing and collections, ordering supplies, and accounts payable duties. The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize responsibilities. The ideal candidate will have experience working as an administrative staff in a busy medical office as well as experience with medical/insurance billing.
Responsibilities:
-Customer Service: new patient intake tasks, responding to patient inquiries via phone calls or emails, patient invoicing and collecting payments from patients
- Files Management: Organizing and storing important documentation relating to patient care
- Insurance Billing: billing patient claims to insurance companies, reconciling patient accounts when insurance payments are made, obtaining insurance preauthorizations for services
-Accounts Payable: paying office bills
-Accounts Receivable: collecting and posting payments to patient accounts
- Maintaining office supplies inventory and place orders as needed
- Assisting with employee onboarding/offboarding procedures as well as job postings for our growing practice
- Managing therapist schedules
- Handling confidential information with discretion
Experience:
- Proven experience in office management or a similar administrative role
- Strong team management skills, with the ability to delegate tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Knowledge of insurance and medical billing a plus
- Exceptional communication skills, both written and verbal
- Ability to maintain a high level of professionalism in all interactions
- Strong attention to detail and accuracy
