Job Description
Accountable to the Finance and Administration Manager 35 - 40 hours a week
Position provides support to managers, other employees and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. The Office Receptionist ensures the smooth running of our company's office and contributes in driving sustainable growth.
Responsibilities / Daily Tasks
- Manage phone calls and correspondence (e-mail, letters, packages, etc.)
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Maintain continuing education and licensure for employees.
- Coordinate travel for employees including researching best options and costs. This includes flight, hotel, rental car, etc.
- Backup Office Administrator to prepare and monitor quotes, purchase orders, invoices, shipping and receiving.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Qualifications
- High school diploma
- Some college preferred
- Proven administrative or assistant experience
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Working knowledge of Microsoft Office
- Strong organizational and planning skills
- Impeccable communication skills, both verbal and written
Relation of the position to others in the company
Works alongside Executive, Engineering, Production and Quality and reports to the Finance & Administration Manager.
