Hillel at Virginia Tech is seeking to hire a part-time (10-15hrs/wk) position to facilitate the general administrative tasks of the organization, record and acknowledge incoming donations through LGL, code expenses in Quickbooks, pay contractors and bills. Although this position is primarily in an office/administrative setting, the office administrator will be at times be the face and voice of Hillel to the community.
This position is primarily managing the nuts and bolt systems that run the student center. These include the administrative systems, programs, and details of events necessary for Hillel to happen. We want to help people find a deep sense of connection and a commitment to Jewish community at Hillel, this role will support our staff in being able to focus on that work.
- Provide excellent customer service by greeting and assisting visitors and clients and maintaining our security through managing door access at times
- Manage calendars, book and coordinate outside rentals of our space
- Perform general office management duties such as handling mail, bookkeeping, and ordering supplies
- Maintain organized files and records digitally
- Utilize computer literacy skills to create and edit documents, spreadsheets, and presentations
FINANCES 70%
- Managing financial book keeping (Quickbooks)
- Make weekly deposits
- Payroll / monthly payroll taxes (federal and state)
- Pay bills / reimbursements
- Giving statements for all contributors (monthly)
- Budget reports as needed but at a minimal monthly
OFFICE MANAGEMENT 30%
- Order/purchase all supplies (paper, cardstock, printer toner, light bulbs, batteries, toilet paper, paper towels, drinks, and paper goods for events)
- Manage the building rental calendar
- Make sure office is stocked and organized
- Manage welcome desk as necessary
Office Expectations
The position above is an “office” position. Hillel is pretty flexible and relaxed atmosphere; however, there are times during the week that would require (or at least be more effective) presence in the office. In general, the position requires 10-15 hours a week. We recognize some weeks might be more time-intensive. Others less so. But in general, the expectation would be:
Monday – Flexible
Tuesday – 10AM - 3PM preferred in person
Wed – Flexible
Thursday – 10AM - 3PM preferred in person
Friday –Flexible
Consistent office hours would be preferred; however, administration sometimes requires additional communication and organization outside the typical weekday rhythm (ie events), and requires flexibility to meet those needs. Therefore the weekly rhythm will be determined collaboratively.
The office administrator position at Hillel is an hourly position, paying $20-30 dependent on experience.
