Essential Duties and Responsibilities

  • Assist students seeking services at the Wellness center and coordinate with the medical/counseling staff to assure proper triaging of patients. Manage appointments for clinicians.
  • Manage, review, maintain all health and immunization requirement records, compliance and outreach.
  • Ensure all state and institution immunization requirements are met within the established provisional status period as defined by the state and the college requirements.
  • Complete and submit the mandated NJ State Annual Immunization Compliance and meningitis vaccination reports.
  • Supervise graduate assistants and undergraduate students in the collecting health records, immunization documents, compliance and wellness services functions.
  • Stays abreast of changes with state immunization requirements.
  • Excellent communication, interpersonal, organizational skills.
  • Provide reception and secretarial duties for the Reception the Wellness Center.
  • Provide support to health and counseling directors and staff.
  • Maintain all Medical Records (electronic and paper files).
  • Maintain patient/client confidentiality in compliance with all FERPA and HIPAA requirements when working with students, their medical/psychological records and medical/psychological care.
  • Responsible for data entry and records of health and immunization requirements, vaccines, medications and supplies.
  • Coordinate with the Bursar’s Office for student billing, registration holds and other duties as necessary.
  • Work with the IT department in regards to computer programs and reports related to the immunization, health and psychological records for the Wellness Center.
  • Maintain accurate filing systems for all student records.
  • Ensure proper destruction of health and immunization records every 10 years.
  • Maintains referral and information guides for off-campus service providers.
  • Supports website updates, information and forms.
  • Maintains accurate records for vaccines and medications.
  • Maintains statistical database for all medical encounters.
  • Communicates with admissions, registrar, computing services, academic offices, administrative offices and student life offices regarding immunization compliance as indicated and wellness center related issues.
  • Process requests and retrieval of personal health records requested by students.
  • Assists Director of Health Services and Counseling as deemed necessary.
  • Assist with the transition to and management of an electronic Medical Records database.
  • Coordinate with facilities regarding maintenance issues of the wellness center.
  • Participate in Student Life divisional programs and activities.
  • Assist Directors with budget and supplies management.
  • Performs other duties as assigned.

  • Supervises student support staff.
  • Maintains facility needs.
  • Other Duties as assigned.
