Summary: Responsible for greeting incoming patients and visitors, relaying incoming telephone calls, maintaining accurate medical records/charts and other chart prep duties, coordinating surgical prep with patients, and performing various clerical duties in a professional manner.
Duties and Responsibilities
- Greet and identify patients and visitors as they enter the office in reference to the daily schedule and obtain additional patient information as needed.
- Request patients and visitors be seated in the waiting room in a courteous manner and communicate unexpected delays when necessary.
- Answer multi-line telephone system, take accurate messages, screen and direct telephone calls to the appropriate person in an efficient manner.
- Schedule and confirm patient appointments and “re-call” appointments in an efficient and productive manner.
- Create and review patient charts to ensure proper documentation and information are enclosed in accordance with practice guidelines.
- Acquire necessary medical records and documents for patient charts by communicating via telephone, facsimile, or in person with other medical practices or office personnel.
- Contact medical facilities, primary care physicians’, or other medical personnel to schedule and coordinate patients for pre-admissions and/or admissions, bookings, tests, or surgical procedures.
- Contact patients via telephone to schedule pre-operative and/or post-operative appointments.
- Submit insurance forms to insurance companies as required.
- Answer billing inquiries from patients, insurance companies, and attorneys via telephone and written correspondence.
- Prepare and maintain all correspondence with Attorneys, insurance companies, and other appropriate individuals
- Retrieve patient charts in accordance with the daily schedule, and deliver to appropriate Physicians or other medical personnel.
- Enter general patient data, such as demographic characteristics, into computer.

Minimum Education/Experience:
High School Diploma or equivalent. 1 year of experience in a medical practice environment. Must be detail-oriented and have outstanding organization skills. Experience with MS Office and EMR (electronic medical records) systems.
Valued, but not required skills and experience:
2+ years in the medical field is preferred. Some experience as a surgical prep coordinator and/or medical files clerk is helpful.

Must be able to stay seated for long periods of time
Job Type: Part-time
Pay: $15.00 - $17.00 per hour
Expected hours: 24 per week
