Vital IV Infusions is an upcoming business with a headquarters in Chatham, NJ. The time our founders spent dedicating to, anesthesia, critical care, and infusion therapy, fueled the passion to provide a wellness center for patients to attain a positive individualized experience! As front line workers during the peak of Covid and dedicated health care workers throughout the years, a correlation in mental health and overall well being is readily noted. With effective relief methods often hard to come by, here at Vital IV Infusions, we provide innovative mood disorder therapy such as ketamine infusion therapy and other services such as IV hydration, vitamins, and micronutrients. Offering relief and hope to those who suffer from treatment-resistant conditions, mood disorders, chronic pain, and various conditions. Treating each patient with an effective blend of science, compassion, and humor.

We are looking for a dynamic, well-spoken professional to work as a Medical Receptionist for our growing medical practice. The receptionist will be responsible for answering phones and greeting incoming patients, and will also assist the medical staff with scheduling appointments. The ideal candidate has administrative experience, is up-to-date on their knowledge of the ins and outs of the healthcare field, and has an intimate understanding of HIPAA privacy regulations.
The hours for the role are Monday - Friday 9:30 am-5:30 pm
Responsibilities:
- Provide respectful and compassionate care to all Vital IV Infusions Center patients.
- Greet and attend to patients in person and over the phone.
- Maintain business inventory such as checking supplies, scheduling equipment and maintenance repairs.
- Answer all phone calls in a professional and courteous manner.
- Perform all duties within HIPAA regulations.
- Maintain confidentiality of all doctor, staff and client information.
- Schedule appointments for all clients.
- Liaise between other medical facilities and referrers with discretion and professionalism
- Adhere to policy and procedures during all activates.
- Assist with client admissions/treatment as per agreed protocols including ensuring that all required information is collected for each client prior to scheduling appointments.
- Ensure that stock levels are adequate, and orders are made timeously.
- Communicate medical results to clients under clinical supervision.
- Complete accurate documentation of patient visits when necessary.
- Ensure appropriate documentation is complete and forwarded to the billing department or outside billing company.
- Assist with maintaining appropriate communication is initiated with all potential and current clients utilizing appropriate methods (HubSpot, email, telephone, etc.) and maintains documentation of all communications with clients within CRM.
Qualifications
- Certified medical assistant or medical office manager experience preferred.
- Available to travel to Chatham and Montclair locations.
- Available to work 20-30 hours.
- Should have a minimum of 2 years of experience at a healthcare facility in a Medical Receptionist role.
- Should have working knowledge of medical terminology, HIPAA regulations, ICD and CPT coding.
- Innovative thinker with strong conceptual and problem-solving skills.
- Meticulous attention to detail with the ability to multi-task.
- Strong organizational, administrative and planning skills.
- Ability to work under pressure and react effectively to emergency situations.
- Ability to use discretion while working with sensitive information.
- Excellent documentation, communication skills.

Pay: $20.00 - $22.00 per hour
