Job Overview
We are seeking a dependable, highly organized and detail-oriented Front Desk Manager to join our team. As the Front Desk Manager, you will be responsible for overseeing the daily operations of the Front Desk area and ensuring exceptional customer service to all patients.
Key Responsibilities / Essential Functions:
1. Greets patients and visitors in a prompt, courteous, and helpful manner. Communicates effectively with patients and/or family members (with patient's permission) to obtain needed patient information.
2. Responsible for excellence in customer service and ensuring patient needs are met.
3. Handles patient complaints or concerns with empathy and professionalism and executes resolution.
4. Responds to routine requests for information/service and directs visitors/patients to appropriate medical staff.
5. Adheres to office scheduling policies and makes and cancels appointments including but not limited to office visits through the office scheduling system.
6. Marks all no shows/cancelled appointments. Calls to reschedules patients.
7. Verifies insurance coverage for all visit types including telemedicine and ensures PCP has been selected for BCBS BEG insured clients.
8. Enters and updates patient information in the computer system to include appointment type, reason for appointment, place of service, insurance type, policy holder, provider of service and referring physician.
9. Answers telephone in a timely manner, screens calls, takes messages, consults, and provides information.
10. Collects co-pays at time of service and payments on account balances at time of service or before and completes end of day deposit according to policy.
11. Checks out patients.
12. Manages and maintains physician and clinic schedules appropriately. Updates office schedule and head of clinical department regularly for patient additions/cancellations.
13. Completes assigned responsibilities independently and in an appropriate time frame.
14. Demonstrates flexibility when involved in changing situations while remaining calm.
15. Demonstrates professionalism in appearance and actions.
16. Attends required meetings. Participates in staff development and education activities.
17. Maintains work area and lobby in sanitized, neat, and orderly manner.
18. Maintains patient confidentiality always.
19. Schedules and ensures that ticklers are scheduled in a timely manner.
20. Coordinate with other departments to ensure smooth patient flow
21. Other duties as assigned.
Requirements
- Exceptional customer service skills with a friendly and professional demeanor
- Ability to multitask and prioritize tasks effectively
- Detail-oriented with strong problem-solving abilities
- Strong administrative skills and excellent communication skills, both written and verbal
- Previous experience working in a medical office preferably Family Medicine for minimum 2 years
- Proficiency in using an EMR (electronic medical records) preferably Athena
-Knowledge of the process of insurance verification and benefits and deductibles and co-pays
-Knowledge of HIPAA regulations
