Job Summary:
The Administrative Assistant provides a wide range of high-level secretarial and administrative support to senior leadership. This role involves working independently on confidential and moderately complex assignments, requiring advanced administrative knowledge and skills. The candidate will exercise sound judgment and discretion to effectively solve operational problems and will be responsible for selecting the best solutions based on prior experience and established guidelines.
Responsibilities:
Offer comprehensive administrative support to senior leaders by handling a variety of confidential assignments.
Coordinate administrative processes and projects, establish work priorities, and generate various documents such as letters, memos, manuals, reports, and presentations.
Manage calendars, coordinate schedules, and arrange logistics for meetings, conferences, and events, including travel and lodging arrangements.
Produce complex graphics, graphs, tables, spreadsheets, and presentations for meetings and reports.
Create and prepare specialized reports by selecting relevant information from various sources.
Screen calls, messages, mail, and email communications, directing inquiries appropriately according to departmental functions.
Maintain and manage databases, perform data entry, and conduct data auditing, possibly involving trend analysis.
Coordinate and independently manage various departmental projects, ensuring timely completion.
Function as the departmental Timekeeper, maintaining accurate timekeeping records.
Provide mentorship and support a learning environment for students and new team members.
Safety & Compliance:
Maintain a clean and safe working environment, manage inventory, and arrange for equipment repairs or replacements when necessary.
Uphold patient confidentiality and adhere to all regulations concerning protected health information (PHI).
Ensure compliance with departmental policies, procedures, and regulatory requirements.
Fulfill continuing education requirements as mandated by the department and facility.
Education:
High School Diploma, General Education Diploma (GED), or equivalent education/experience.
Experience:
A minimum of 2 years of relevant experience.
Skills and Knowledge:
Proficient in written and verbal communication, capable of drafting effective communications and engaging with various audiences.
Strong time management and organizational skills, with the ability to prioritize tasks and adhere to deadlines.
Advanced proficiency in Microsoft Office Suite and familiarity with relevant software and information systems.
Ability to interpret various forms of data and instructions.
Work independently and collaboratively in a dynamic environment, managing multiple tasks and interruptions.
Problem-solving skills with the ability to identify and resolve issues using established solutions.
Commitment to ensuring patient privacy and PHI confidentiality.
Ability to build collaborative relationships and achieve corporate objectives.

Salary: $21.00 - $23.00 per hour
