POSITION: Marketing & Box Office Coordinator
DEPARTMENT: Sales & Marketing
REPORTS TO: Booking & Box Office Manager
Director of Sales & Marketing
FLSA STATUS: Full-time, Salary, Exempt
Summary
ASM Global, the leader in privately managed public assembly facilities, has an excellent and immediate full-time opening for a Marketing & Box Office Coordinator. Under direct supervision, the Marketing & Box Office Coordinator is responsible for the overall coordination, implementation, and execution of all marketing and promotional initiatives as assigned, as well as all set-up, sales, and evaluation of the Box Office. This position requires the ability to work seamlessly with internal and external clients to achieve Marketing and Box Office goals.
The Marketing & Box Office Coordinator acts as liaison between the facility and clients, ensuring all clients' requirements are met and facility rules, regulations and policies are adhered to. For Marketing: this position is to assist with the planning, implementation, and management of all marketing and promotional initiatives and assets for the Albuquerque Convention Center, Kiva Auditorium, Civic Plaza, and the Jennifer Riordan Spark Kindness Regional Sports Complex. For Box Office: this position is to manage all Box Office builds for contracted shows and events, conduct daily Box Office sales transactions (as required), reconcile all sales and Will Call receipts at the end of the shift, provide day-of support of all shows, and provide support to the Senior Booking Manager and Director of Sales and Marketing as needed.
We require an individual to have excellent organizational skills, customer service skills, a positive attitude, basic math skills, and willingness to learn and work in a team atmosphere.
Marketing Essential Duties and Responsibilities
  • Assist with management and implementation of marketing initiatives within required brand guidelines. This includes, but is not limited to, social media, electronic database mailings, website maintenance, company sales and promotional collateral development and distribution, Box Office asset management, media buying and placement, press release and editorial writing and distribution, internal and external newsletters, consumer and community outreach, sales solicitation, sponsorship activation, and more.
  • Implement and execute initiatives within the annual marketing plan designed to maximize awareness of facility with guidance from the Director.
  • Manage all print and digital marketing communications, including list management, content management, and campaign execution through required software and / or management systems.
  • Assist with updating and maintaining website content daily.
  • Manage and research fresh/timely content for social media platforms daily while consistently growing engagement, responding to customer inquiries promptly, and executing creative organic and paid social campaigns.
  • Assist with public relations activities both in-advance and during applicable events (will include evening and weekend hours).
  • Assist with graphic design and creative projects in Adobe Creative Design platforms to create digital and print-ready marketing materials.
  • Compile event announcement and pre-sale documents for upcoming events. Assists with marketing, promotions for ticketed events.
  • Assist with sponsorship solicitation as well as activation of all contractual sponsorship obligations.
  • Plan, assist, and conduct market research to identify opportunities for increased event sales and facility promotions; assists with management, development, production, and distribution of promotional and collateral materials to support sales and marketing programs.
  • Provide post-event reports, analysis, and regular status reports on marketing programs.
  • Implement PR campaigns for events as needed, including pitching and scheduling TV, radio, and print interviews and appearances and creating and executing on and off-site PR events.

Box Office Essential Duties and Responsibilities
  • Build events for on sale in a timely fashion. Seeks client approval and sign-off on every Box Office build.
  • Open and/or close the ticket window as required. Accurately dispenses tickets as requested by patrons and accepts payment and makes change accurately.
  • Maintain accurate counts when selling hard tickets or accessing the computer for count of computer printed tickets.
  • Complete daily ticket sales reports. Keep accurate daily balance sheet of cash received and tickets sold, balance sales, and change bank and submit cash to Finance Department for audit.
  • Process promoter, group, and venue ticket orders, handle Will-Call window according to procedures, and other related duties as assigned by Manager.
  • Collect, file, and manage all client-provided Marketing and Box Office media assets. Ensure all marketing and promotional contractual requirements are met.
  • Efficiently and courteously answer questions concerning prices, seating, and events and gives information concerning coming attractions.
  • Day-of event ticket and/or logistic assistance as required.

Additional Essential Duties and Responsibilities
  • Work extended and/or irregular hours including nights, weekends, and holidays, as needed.
  • Demonstrate excellent customer service skills, respond promptly to customer needs, and respond to requests for service and assistance.
  • Able to work independently and handle most Marketing and Box Office questions without assistance.
  • Interact in a professional manner when dealing with various internal and external customers, vendors, and staff.
  • File various records and reports, as requested.
  • Other duties assigned as needed.

Education and/or Experience
Bachelor's degree from a four-year College or University in Marketing, Journalism, Public Relations, Communications, or related field is preferred. Minimum of 2 years' experience in Marketing, Public Relations or Sales in entertainment industry or related field or equivalent combination of education and experience requirement.
Skills and Abilities
  • Excellent written, listening, and verbal communication skills and experience.
  • Ability to work in a fast-paced environment.
  • Ability to prioritize multiple projects and give high attention to detail.
  • Work independently, exercising judgment and initiative.
  • Demonstrated ability to accurately and efficiently deal with large quantities of cash or payment methods such as credit cards.
  • Commitment and willingness to provide excellent customer service.
  • Ability to remain in a stationary position at least 75 percent of the time
  • Operate a personal computer using Ticketmaster, Outlook, Windows, Word, Excel, and other standard office equipment and software programs.
  • Graphic design knowledge preferred.
  • Experience in computerized ticket systems preferred.

  • While performing the duties of this job, the employee is regularly required to move around the facility; to stand for long hours during events; talk and hear. This position may require work inside or outside of the building, as needed by events.
