We are looking for a Legal/Office Assistant proficient in multitasking and with a keen eye for detail to join our team.
Job Description:
The Legal/Office Assistant will play a crucial role in supporting our attorneys, primarily the Founding Attorney, through various tasks, from routine administrative duties to paralegal work. This position is ideal for someone who is an excellent communicator, highly organized, and can easily manage multiple tasks in a fast-paced, vibrant environment. Legal/Real Estate experience is not required. On-the-job training provided.
Key Responsibilities:
· Offer administrative support, including calendar management, meeting scheduling, and arranging travel.
· Draft, edit, and proofread documents to ensure they are accurate and clear.
· Assist with Real Estate closings by preparing necessary documents, monitoring critical deadlines, and maintaining organized processes.
· Manage the secure sending and tracking of key legal documents, ensuring proper recording and distribution to relevant parties.
· Serve as the main communication link between attorneys and clients, handling inquiries with professionalism and warmth.
· Keep files well-organized to ensure confidentiality and easy access.
· Prepare the conference room for meetings, creating a professional and inviting space for clients and staff.
· Assist with billing, correspondence, file management, deadline tracking, and general tasks like typing, copying, and scanning.
· Help develop social media posts and manage interactions.
· Coordinate office events, trainings, and social engagements.
Qualifications:
· Proficiency with Microsoft Office, Adobe Acrobat, and Zoom.
· Excellent multitasking and organizational skills, with a talent for problem-solving.
· Strong communication skills and meticulous attention to detail.
· Friendly and professional interpersonal skills; experience with social media is a plus.
· Commitment to reliability, whether commuting or planning to relocate before starting work.
· Openness to learning and taking on new responsibilities beyond typical assistant roles.
